Canada: choosing and checking the right record

Choose the correct source

First identify whether the corporation was created federally or under a province or territory. Corporations Canada's search covers federal corporations; use the relevant provincial or territorial register for entities incorporated there.

Confirm the entity

Record the corporation number together with its incorporating jurisdiction. A business number is not interchangeable with every provincial corporation number. Compare numbered-company names and any operating names carefully.

When the search returns nothing

A missing federal result is not evidence that a Canadian business is unregistered. Ask for the incorporation jurisdiction and search that register; also distinguish an extra-provincial registration from the original incorporation.

What the record cannot establish

Officer availability, document access and fees differ by register. A federal search is not a nationwide search of every business form. Registration alone does not confirm tax compliance or the authority of the person contacting you.
